UTCS PROCTOR ORIENTATION

PROCTOR ASSIGNMENT Your proctor assignment must be processed before any timesheets can be submitted. If this is your first job at UT Austin, you will need to complete a background check. Keep a lookout for an email to initiate background check. SSN will need to be included. Once you initiate your background check or if you’ve already done one in the past, you will be sent a welcome email from Workday.

CHECK WORKDAY! Once you receive your welcome email from Workday, login to the system and check your Inbox.

WORKDAY ACTION ITEMS Check all inbox notifications I-9 is the most important action item Submit I-9 form immediately Allyson Fox will reach out to schedule I-9 appointment Check email to determine which documents are needed Bring in ORIGINAL documents When you complete your I-9 may effect your hire date. Please check with Allyson during meeting if your hire date has change. Complete all other inbox action items within one week. Remember to read and respond to accounting emails in a timely manner!

TIMESHEETS Once you’ve completed all steps to finalize your assignment, you will have access to submit time sheets. Please keep in mind that you cannot submit time before your hire date. Offer letter will state actual hire date Workday Personal Information About Me If submitting an I9, check with Allyson on your start date.

EMAIL YOUR TIMESHEET TO PROFESSOR Take a screen shot of your timesheets Make sure to include the date and hours worked each day Email the screenshot to the professor you work for as well as [email protected] Preferred email format Subject line: Timesheets for approval, January 16-31

PAY PERIODS Pay periods are 1st – 15th and 16th- 31th Please make sure screenshots include all dates within the pay period and total hours worked each week.

WHAT COUNTS TOWARD HOURS WORKED? ANYTHING you do that is related to the class you are proctoring Attending the lecture Holding office hours Answering questions via email, text, Piazza, Canvas, etc. Grading Attending class-related meetings Attending/monitoring exams Attending proctor orientation

HOURS ASSIGNED DO NOT go over the numbers of hours you’ve been assigned each week. If you go over assigned hours, include justification in screen shot email to faculty and timesheet email alias.
