Testing Expectations All GCA certified staff are REQUIRED to attend state testing administrations and state testing training. These testing dates (April 25 – May 6) are considered critical days for staff. Vacation and/or personal time off will NOT be approved during these testing windows. You may be asked to travel to administer a state test. If you are assigned to travel during Georgia Milestones Testing, you could be away for up to two weeks. Please note that if you have a student enrolled at GCA, for test security purposes you will NOT be assigned to your child’s test site (no exceptions). Please make sure that you make arrangements for personal responsibilities prior to the testing window, as lack of childcare, sick children, and distance WILL NOT be excused absences from testing. If you have extenuating circumstances that will prevent you from travel/testing please contact your direct report. Test Dates for the 2015-2016 are listed on the GCA Staff 2015-2016 calendar. Ensure that you mark ALL of the RED testing dates on your calendar as ALL teachers will be used for the Georgia Milestones Spring administration.

Examiner’s Manuals For Now PLEASE read and refresh your memory using the 2015 Examiner’s Manuals! EOG 2. EOC 1. If you don’t have a copy, please download from the DOE site. http:// www.gadoe.org/Curriculum-Instruction-and-Assessment/Assessme nt/Pages/default.aspx ***We will let you know when the 2016 Examiner Manuals are available and accessible on the DOE website.

Homeroom Teacher Duties: 1. Communicate assessment dates during conferences. 2. Work closely with learning coach in test prep. 3. Complete all testing trainings. 4. Send site confirmations to homeroom students. 5. Monitor absences of homeroom students. 6. Report withdrawals of homeroom students. 7. Report missing sped accommodations in Testing Nirvana for homeroom students to the special education case manager. 8. Report missing 504 accommodations in Testing Nirvana for HR students to Zakia Funchess. 9. Communicate site change requests 10. Report accommodation changes or discrepancies to site coordinator.

Site Team The roles and responsibilities below will be assigned to each site team member. Site Coordinators and Accommodations POC assignments will be sent January 22nd. Staff Testing Assignments will be sent January 29th. All team assignments will be determined by the Site Coordinators. Two Site Coordinators per testing site (no assistant SC) Site Visit POC Communications POC Tech POC Sign-in POC APOC – assigned by Testing Administration ***All roles are subject to change due to sickness, staff resignations etc.

The Site Plan Leadership will be creating all Testing Site Plans and providing the Site Coordinator with their Site Plan. Ongoing adjusting and maintaining of site plan will be the role of the Site Coordinator.

Site Coordinators Work collaboratively with other site coordinator assigned to your site. Complete all testing trainings. Assign Site Team Roles/Responsibilities. Send site confirmations to students in Testing Nirvana and TVS. Report known absences of students in Testing Nirvana and TVS. Report withdrawals of students in Testing Nirvana and TVS. Report missing sped accommodations in Testing Nirvana and TVS for students to the Special Education case manager. Report missing 504 accommodations in Testing Nirvana to Zakia Funchess. Confirm site changes with system test coordinator & primary teacher & make changes on your sign-in sheets & rosters. Report test day attendance in Testing Nirvana and TVS. Oversee sign-in/sign-out Keep track of materials & be sure all materials are kept secure. Return testing materials at assigned time. Adjust Site Plan as needed Communicate with your site via TVS.

Site Visit POC Duties: 1. Complete a test site visit 2. Create a Power Point to be shared with your site team. 3. Get the emergency plan from the site or previous site coordinator of that testing site. Power Point will include the following: Points of interest – things for LC’s to do while they are waiting for their child/children to complete testing. No parents should be allowed to linger in the halls outside of the testing rooms. If your test site is in a hotel, parents may NOT wait in the hotel lobby. Emergency Plan

Communications POC Duties: Student Communication Assist site coordinator in ensuring all Students/Families receive accurate and timely communication from the site team. Preparing ALL communications should not be placed solely on one member of the team. Parent/Student communication/expectations: Phone calls as well as BBC messages will be made to each student regarding the test site information. Assist APOC with contacting students with accommodations. This person will be responsible for creating and hosting a Blackboard Collaborate session. Each site team will schedule a mandatory session for parents and students prior to testing.

Tech POC Duties: At each site where tests will be administered via computer, the Tech POC, will: Communicate with the stand-by tech assistance team. 2. Ensure that all the necessary items are at the test site on day one. 3. Set-up computers each morning to ensure they are running properly. 4. Breakdown computers/equipment daily. Help Site Coordinator account for all equipment. 5. Ensure there is a testing ticket (for each day) for each student testing on the computer. Please note, 50% of our GCA students will be testing on the computer this year. 1.

Sign in POC Duties: 1. Coordinate daily sign in each day. 2. Print sign in sheets from Testing Nirvana. 3. Sign in POC and Site Coordinator will review the sign in sheets. 4. Please be sure you do not have sign-in sheets or posters labeled as “accommodations.”

Accommodations POC All information about accommodations will be coordinated by the APOC. Other Duties: With site coordinators, be sure all student’s accommodations are included correctly in the site plan. Ensures appropriate documentation - IEPs, IAPs, 504s, and ELL plans - are maintained. Ensures testing accommodations are cross checked with the actual documentation for site teams. Verify accommodations in Testing Nirvana and access IC to review IEP’s. Ensures team understands approved testing accommodations. Verifies special coding is correct. Verifies all tests that all students will receive accommodations are documented. Report missing accommodations on roster for students at site. Call and remind/verify with students testing dates and accommodations received for testing / follow up with a k-mail. Offer test tips & encouragement.

Examiners Attends all testing training sessions. Ensures security of materials. Follows procedures for handling materials. Reads examiner’s manual before test & follows instructions. Maintains control of testing environment. Keep students on task & on time. Allows students to leave room only in emergency. Counts & verifies all test materials before & after test. Inspects answer documents for bubbling placement errors. Inspects answer documents for entry of form number. Ensures that no instructional related materials are displayed. Report all testing irregularities to Site Coordinator.
